Booking Process Step: Airline Info
Steps to take at the time of booking the airfare:
- Ensure the legal names are as they appear on the passports (or driver's license for domestic travel). Double check after the airline ticketing process is complete to make sure everything is correct.
- Confirm that the client’s special requests & seat assignments on the aircraft are reflected on the air record. Always advise the customer if you can't get the seats together; otherwise, you will have an upset client when they get to the airport.
- Email the customer a copy of the airline itinerary directly from the airline website, so that they can easily identify the record locator. It’s a good idea to provide the airline with the client’s email & cell number on the airline website in case of an emergency.

Airline Seat Assignments: Families, friends want to sit together on flights. When the air is booked online, the system will automatically assign seats where/when applicable. It is important to assign the passengers the best seats available based on their preferences.
- For reservations booked with TI, click on Seat Assignment. In the aircraft seat map assign seats for the passengers by clicking on their currently assigned seat, indicated by a yellow triangle, & selecting a new available location indicated by a green circle. Repeat for each flight leg. Occasionally, seat maps are not available as the airlines withhold seat allocation until check in.
- Airlines block seats & you’re therefore unable to assign them. This doesn’t mean the flight is overbooked, just that you are unable to assign the seats. The only person who will be able to assign these seats is the gate agent. As an alternative, clients can typically purchase preferred seats on the airline website if they want to ensure that their whole party is together. NOTE: if you have trouble securing seats via a tour operator’s seat map, go directly to the airline’s website using the record locator number (airline confirmation code, a combination of six numbers & digits). Always advise the client of their options rather than not telling them they do not have seat assignments. Give them the option to move to more leg room seats for X $ prior to travel, so they are not surprised or feel misinformed by you.
NOTE- there are no seat assignments for Southwest Airlines, you’re assigned a boarding position. Advise clients to purchase Early Bird for the best boarding positions.
